Practical guidance for running a coaching or consulting practice with KuzaHQ.

Workspace

Dashboard

What is it? Your overview of the active organisation.

Why use it? See useful counts for clients, programmes, sessions, billing, goals and action items without opening every module.

How do I use it? Start here for daily work, then follow the links into the relevant record.

Example: Check today’s sessions and overdue actions before a morning of executive coaching.

Clients

What is it? A Client is a person receiving your coaching or consulting service.

Why use it? Keep contact details, client status and related work in one place.

How do I use it? Add a client, update their details, and open their record for related communication where available.

Example: Create an executive coaching client before enrolling them in a leadership programme.

Client work

Programmes and enrolment

What is it? A Programme describes a structured coaching or consulting engagement. Enrolment connects a client to that programme.

Why use it? Separate the reusable shape of an engagement from the people taking part.

How do I use it? Create a programme, then enrol an existing client from the programme workspace.

Example: Create a twelve-week leadership coaching programme and enrol a new client.

Sessions and appointments

What is it? A Session is a scheduled meeting or appointment connected to client work.

Why use it? Keep planned, completed and cancelled meetings visible and connected.

How do I use it? Schedule a session, link the relevant client or programme, and update its status as the work progresses.

Example: Schedule the next coaching conversation and mark it completed afterward.

Goals and action items

What is it? Goals describe an intended outcome; action items are the next steps that support it.

Why use it? Make progress concrete between sessions.

How do I use it? Add a goal for a client or engagement, then record actions and progress updates.

Example: A client’s goal is to lead a team meeting confidently, with a practice action due next week.

Progress

What is it? Progress records capture meaningful updates against goals.

Why use it? Preserve the story of follow-up and keep future conversations grounded.

How do I use it? Add an update after a session or when a client reaches a milestone.

Example: Record how a client applied a new delegation habit between sessions.

Billing and payments

What is it? Billing provides invoices and payment recording.

Why use it? Keep financial follow-up associated with the work you deliver.

How do I use it? Create and issue invoices, then record or void payments as appropriate. KuzaHQ does not currently provide payment-gateway processing.

Example: Issue an invoice for a consulting engagement and record an offline bank payment.

Documents and resources

What is it? Tenant-owned files and resources managed in the workspace.

Why use it? Keep worksheets, agreements and useful materials organised.

How do I use it? Upload a document, connect it to the available client or programme context, and manage its availability from the workspace.

Example: Upload a preparation worksheet for a leadership programme.

Communications

Communications Hub

What is it? The central place for email templates, outbound email, reminders, subscribers, contact lists, campaigns and subscription forms.

Why use it? Keep routine communication workflows together and tenant-scoped.

How do I use it? Choose the communication area that matches the task, then follow its list and detail pages.

Example: Move from a new subscriber list to a reusable template and then a prepared campaign.

Email Templates

What is it? Reusable email content for common messages.

Why use it? Keep regular communication consistent while allowing each message to be reviewed.

How do I use it? Create, preview, edit or archive a template from Communications.

Example: Create a welcome message for a new consulting client.

Template Library

What is it? A collection of KuzaHQ-provided starting designs for newsletters, promotions, services, announcements, events and coaching or consulting updates.

Why use it? Start with a professional, email-safe structure instead of writing every message from scratch.

How do I use it? Preview a design, select “Use this template”, then edit the copied organisation template before using it in a campaign or direct email. Standard and Premium labels are catalogue metadata today; premium billing and entitlement enforcement are future work.

Important: Library designs are starting points. Copies belong to your organisation and future library changes do not overwrite them.

Outbound Email

What is it? A record of individual email sent from the workspace.

Why use it? Review communication history and delivery outcomes.

How do I use it? Send a message from the outbound area and open its audit record afterward.

Example: Send a preparation note to a client before a session.

Scheduled reminders and follow-ups

What is it? A scheduled message for a future follow-up.

Why use it? Make sure useful prompts are sent at the right time without relying on memory.

How do I use it? Create a reminder, choose its recipient and schedule, then review its status. The system dispatcher processes due reminders automatically; no technical action is needed from you.

Example: Schedule a check-in after a business consulting session.

Campaigns and saved segments

What is it? A prepared message sent immediately or scheduled for an eligible subscriber audience. Saved Segments are dynamic audiences built from structured subscriber rules.

Why use it? Target a contact list or saved segment while retaining a delivery audit.

How do I use it? Create a draft, choose an audience, and prepare it. Preparation freezes the campaign recipients, so editing a Segment later does not change an already-prepared campaign.

Example: Build a segment for subscribed website contacts, then schedule a workshop update. Current subscription status is checked before delivery.

Communication Topics

What is it? Tenant-managed subjects such as Leadership Tips or Events that subscribers can choose in their public email preferences.

Why use it? Let subscribers narrow the communications they want without creating an account.

How do I use it? Staff create active Topics, and subscribers use the “Manage email preferences” link in an email. Global unsubscribe always overrides topic selections; Topics can also be used in structured segments.

Campaign reporting

What is it? A read-only summary of delivery and recorded redirect events.

Why use it? See sent, skipped, failed and processing recipients, tracked-link totals and recipient-level recorded click rate.

How do I use it? Open a prepared or completed campaign report, filter recipients, and export the snapshot as CSV.

Example: Review which recipients had recorded redirects after a campaign. Repeated requests and security scanners may produce recorded clicks; they are not guaranteed human activity. KuzaHQ does not provide open tracking.

Audience and consent

Subscribers and contact lists

What is it? A Subscriber is a communication contact; a Client is a person receiving your service. They can be related in your work but are separate records.

Why use it? Manage communication audiences without treating marketing consent as the same thing as a client relationship.

How do I use it? Add or import subscribers, group them into active contact lists, and respect subscribed, unsubscribed and archived states.

Example: Keep a list of people interested in future etiquette workshops separately from current coaching clients.

Subscription forms and opt-in

What is it? A hosted or embeddable form for collecting subscriber details and consent.

Why use it? Give people a clear way to join an audience with a recorded consent choice.

How do I use it? Create a form, publish it for a shareable hosted link or embed it where appropriate. Single opt-in confirms immediately; double opt-in requires confirmation.

Example: Add a double opt-in form to a consulting website for a monthly practice note.

CSV import and export

What is it? A controlled workflow for bringing subscriber data in or exporting tenant data out.

Why use it? Work with existing lists while keeping a preview and confirmation step.

How do I use it? Upload a supported CSV, review the preview, and explicitly confirm the import. An admin import does not create marketing consent by itself.

Example: Import an existing event list only when you have a lawful consent basis for contacting those people.

Consent and unsubscribe

What is it? Consent records explain why a subscriber entered an audience; unsubscribe lets them stop future subscriber communication.

Why use it? Respect people’s choices and maintain an auditable communication history.

How do I use it? Use published forms or explicit management workflows, and never treat an import as consent. Topic preferences are narrower than global consent and do not resubscribe anyone.

Example: A subscriber can unsubscribe from campaign communication without deleting your separate client record.

Organisation and team

Organisation settings

What is it? The profile and identity of the organisation that owns your workspace data.

Why use it? Keep tenant information accurate for your team and communications.

How do I use it? Owners and administrators can update organisation details and configure organisation email settings where permitted.

Example: Update your business name before inviting a new consultant.

Team, invitations and roles

What is it? Team membership controls who can access an organisation and what they can do.

Why use it? Give people the access needed for their role while keeping tenant data private.

How do I use it? Owners and administrators manage team membership and invitations. Roles include Owner, Administrator, Coach or Consultant, Staff and Client, with permissions enforced by the workspace.

Example: Invite a staff member to support administration without giving them owner controls.
